1. How We Use AI

OfferInbox uses the Google Gemini API to process documents you upload. When you upload a file, the text content of that document is sent to Google's Gemini API for analysis. The AI extracts structured data — prices, terms, quantities, delivery conditions — and returns it to our service for display in the comparison table.

2. What AI Does

The AI extracts factual information from documents, builds structured comparisons, and generates decision summaries with confidence scores and risk flags. It normalizes data from different document formats into a consistent comparison framework.

3. What AI Cannot Guarantee

AI extraction is not infallible. Specifically:

• Accuracy of extracted numbers (prices, quantities, dates) — always verify against original documents
• Completeness — the AI may miss information in complex or poorly formatted documents
• Legal interpretation — AI does not provide legal analysis of contract terms
• Context — AI may misread ambiguous or abbreviated text in domain-specific documents

4. Human Review Required

All AI outputs in OfferInbox are decision support tools — not final decisions. You must review AI-extracted data against the original documents before making any business, financial, or contractual decision. OfferInbox is a tool to help you compare; the decision is always yours.

5. Data Sent to AI

The text content of your uploaded documents is sent to the Google Gemini API for processing. Images are sent as image data. OfferInbox does not send metadata about you (no name, email, or account information) alongside document content.

No model training: Google's API terms for the Gemini API prohibit using API inputs and outputs to train or improve their models. Your documents are not used to train any AI model.

6. EU AI Act Positioning

Under the EU AI Act (Regulation (EU) 2024/1689), OfferInbox is classified as a limited-risk AI system — specifically a decision support tool that assists human decision-makers without replacing them.

OfferInbox is not a high-risk AI system as defined in Annex III of the EU AI Act. It does not make automated decisions about individuals, is not used in employment or credit contexts, and does not operate in safety-critical domains.
